Analysis of an existing organization from the perspective of a System Analyst

Select any Omani digital firm which uses an information system for their business tasks and conduct an interview with the information system officer who is in charge of administering the system. The purpose of the interview is to explore the functionalities of system and analyze how business objectives are met with the help of the system and also to find areas that can be improved. You are required to attach the interview questions along with report. After conducting the interview, prepare the following.

d. Each member in the group should prepare an input form and output form based on the proposal given in task c. As a group, evaluate the design created by each member and recommend a set of guidelines to be applied for effective design.

Task C-Case Study Analysis

Tasks: Read the following scenario, understand and present your response.

Description of the Company:

Easy agent sellers group is a rapidly growing real estate agent engaged in selling and buying of properties. Buying or selling a property is a complex decision making process with a significant financial commitment. Best sellers group will provide all sorts of assistance to any buyer or seller who wishes to sell or buy any property.

Scenario:

Easy agent office includes various departments like customer service department, Legal department and promotion Department. Any seller who desires to sell a property needs to call the customer service department and provide the details of the property like area, location and price range. The customer service department also collects the contact details from the seller. All these details will be recorded into a standardized form. The customer service department will then create an inspection file in which the proposed date for the inspection of the property will be added.

The sales negotiator (works in customer service department) who is in charge of the inspection of the property will review the standardized form to know the property details. The sales negotiator checks the inspection date and informs the seller about the inspection time. Once the seller also agrees with the date and time, sales negotiator conducts the inspection of the property along with the seller. After inspection, sales negotiator prepares a price estimate of the property by considering the locality and market conditions and sends it to the seller. If the seller agrees with the proposed price estimate, he will be asked to fill a property transfer form and sent to sales negotiator. The sales negotiator records the terms and conditions in buying the property along with the price into a file called property file.

If the seller is not agreeing with the proposed price estimate, the case will be recorded into a pending case file. The customer service department keeps a track of the pending cases and sends a notification to the seller for a second inspection of the property. The inspection date will be added in the inspection file.

To confirm the deal, the legal department prepares a detailed property report including property details and terms and conditions in buying the property and sends to Department of Ministry of Legal affairs for the formal approval.

After receiving the approval from Ministry of Legal affairs, a contract is signed with the seller. The information detailed in the contract includes: the name and address of the seller, details of the land, the price, the settlement date, the conditions for buying the property.The legal department keeps a copy of the contract and a second copy is sent to the seller. The properties, whose deal is over, will be added into a file called sales file with the details of property and estimated price for sale.

The promotion department periodically examines the new properties in the sales file and decides on the format and contents required for the advertisement. These details will be put into a paper and sent to an advertising agency who will publish the property for sale.

If any buyer who wishes to buy the property can contact the customer service department to give his requirements and the department will review the sales file to see a match. If a match occurs, buyer will be sent an announcement to view the property .After viewing the property, if the buyer gives an approval to buy the property, the sales contract is signed by both parties(buyer and Best sellers) and property will be transferred under buyer’s name. The sales contract details will be saved into a file and a copy of sales contract will be given to buyer.

Based on the above narration, perform the tasks listed below:

1. Prepare the following for the above mentioned scenario which is required for automating the processes at Easy agent

a) Context diagram. (15 marks)

b) Level 0 DFD (Data Flow Diagram). (12 marks)

c) Level 1 DFD of any one of the processes identified in the Level 0 DFD. (8 marks)

2. Prepare Structured English to express the logic covered in the 2nd and 3rd paragraphs in the scenario which is a tool for structured analysis. (10 marks)
